Award Staffing is seeking a Full-Time Recruiting Assistant in the Chaska area.

This role will perform  general office receptionist and clerical duties and  provide general administrative support to recruiters and the recruiting process.

 

MAJOR RESPONSIBILITIES

Receptionist Duties and Responsibilities:
  • Answer all incoming calls promptly
  • Screen calls and transfer  to  appropriate employee or department
  • Greet and direct visitors to the correct destination
  • Assist with questions from clients, employees and the public
  • Route requests for information to appropriate staff members
  • Maintain the telephone system console and keep  lobby area neat
  • Participate in IVR candidate calls

Recruiting and Administrative Support Duties and Responsibilities:
  • Enter applications into Applicant Tracking System (ATS)
  • Organize and maintain office filing system
  • Prepare application packets
  • Scan documents and upload them into appropriate file(s)
  • Manage  candidates in ATS
  • Assist applicants with entire application process, answering questions as needed
  • Present information to candidates and communicate to appropriate departments
  • Log all call messages pertaining to Award Associates 
  • Assist Recruiters with candidate testing
  • Ensure the copier/fax/scanner is maintained
  • Order and stock office supplies, coffee, tea, plates, etc.
  • Maintain office equipment literature
  • Assign temporary employees their web portal login
  • Set candidates up to complete online job application and online WOTC application
  • Call online applicants
  • Assist with follow up with candidates as needed
  • Cover other office s Recruiting Assistant duties from those locations as needed
  • Assist Account Managers with distributing marketing materials
  • Track new candidates and send weekly report to Director of Recruiting
  • Perform other duties as assigned

 

MINIMUM POSITION QUALIFICATIONS
  • High school diploma or equivalent
  • Two year business degree from a Vocational or Business College preferred
  • Professional and personable
  • Two or more years experience in an administrative role
  • Strong multi-tasking skills
  • Problem solving and organizational skills
  • Demonstrated people and customer service skills
  • Proficient in Microsoft Office Suite, multiline telephone systems, and general office equipment
  • Excellent written and oral communication skills
  • Ability to multi-task with an attention to detail
  • Reliable with a high level of initiative

 

WORKING CONDITIONS

  • Maintaining composure in dealing with authorities, executives, clients, staff and the public, occasionally under conditions of urgency and in pressure situations.
  • Required ability to handle multiple tasks concurrently.
  • Computer usage including data entry for prolonged periods.
  • Handling and being exposed to sensitive and confidential information.
  • Regular talking and hearing.
  • Frequent sitting.
  • Occasional walking, reaching with hands and arms, stooping, kneeling, crouching and crawling.
  • Frequent lifting and/or moving up to 10 pounds and occasionally up to 25 pounds.
  • Close vision, distance vision, and ability to adjust focus.
